Privacy Policy

Under Ugandan law, there is a clear difference between the owner of the records and the company providing the computer system:

• Your School is the Owner (Data Controller): The school decides which students to register, what marks teachers enter, what fees to set, and which parents receive SMS updates. The school owns all its records 100%.

• School Manager Uganda is the Service Provider (Data Processor): We only provide the secure online system, software, and databases to help your school do its work faster. We do not own, sell, or share your school records with anyone.

To help your school run smoothly, the system keeps records entered by your staff or created during school terms:

Because our system holds records of young learners, we follow strict safety measures:

• School Responsibility: Schools register learners with the knowledge and consent of their parents or guardians during admission.

• No Tracking or Advertisements: We never use student information to show ads, sell products, or track children online. School Manager Uganda is completely ad-free.

• Only Authorized People Can See Records: A student's marks and details can only be seen by their approved teachers, the headteacher, and their verified parents.

• Parents Can Check Records: Parents have the right to check their child's marks and fee balances anytime through the school portal or by asking the headteacher.

When parents pay school fees using PegPay, banks, or Mobile Money, we follow simple and secure rules:

• Money Goes Straight to the School Bank Account: When a parent pays via MTN MoMo, Airtel Money, Stanbic, Centenary, DFCU, or an Agent Banking kiosk, the money moves directly through the bank network straight into the school's bank account. School Manager Uganda NEVER holds school fees money in a middleman account.

• We Never See or Keep Parent PINs: When parents approve a payment on their phone (*165# or *185#) or at a bank, their secret PIN stays between them, their telecom, and their bank. We never ask for, see, or store mobile money or ATM PINs.

• Instant Automatic Receipts: The moment the bank confirms payment, the system automatically records the receipt on the student's file and sends a free SMS confirmation to the parent.

We make sure all academic records follow the official guidelines of Uganda:

• New Lower Secondary Curriculum: Activity of Integration (AOI) scores are strictly checked so teachers cannot enter marks outside the NCDC 0.0 to 3.0 scale by mistake.

• Easy UNEB Registration: Learner LINs, index numbers, and continuous assessment scores are kept in the exact format required when registering candidates for UNEB exams.

We use strong security measures so your records remain private and protected at all times:

• Every School is Separate: Every school on School Manager Uganda has its own locked digital compartment. A teacher or bursar at School A can never see or search records belonging to School B.

• Passwords and Roles: Teachers only see the subjects and classes they teach. Bursars handle fees, while only the Headteacher and DOS can approve final report cards.

• Strong Protection: All information moving between your school computers or phones and our cloud servers is encrypted (scrambled with bank-level security) so unauthorized people cannot intercept it.

• Automatic History: The system keeps a record of who entered or changed marks, who approved fees, and when, so the school head always knows what happened.

We never sell school lists to marketers or marketing agencies. We only work with trusted partners needed to deliver the service:

• Pegasus Technologies (PegPay): To check student pay codes and send instant payment receipts to your school ledger.

• Telecom Networks (MTN, Airtel): To deliver SMS receipts, fee reminders, and report card readiness alerts to parents.

• Certified Cloud Storage: Highly secure, world-class servers that keep backup copies so you never lose your school records even if a computer breaks.

• Ugandan Law: We will only share records if ordered by a formal, valid order from a recognized court of law in Uganda.

• 100% School Ownership: All student names, marks, parent contacts, and financial books belong completely to your school. We never hold your data hostage.

• Free Download Anytime: You can export and download your complete school lists, marks, and fees records in Excel or PDF format whenever you want.

• Leaving the Service: If your school ever decides to stop using School Manager Uganda, we give you 90 days to download all your records, and then your data is safely deleted from our active servers.

Under Uganda's Data Protection and Privacy Act 2019, parents, teachers, and school heads have clear rights:

• Right to See Records: You have the right to check what personal information is held on the system.

• Right to Correct Mistakes: If a student's name, parent's phone number, or mark was entered incorrectly, the school can correct it immediately.

• Right to Ask Questions: You can contact our team anytime if you have questions about how your school records are handled.
